Thank you to everyone who made our Eclipse Viewing Party such a huge success! Seeing all of you out here having a good time learning about our solar system makes all the hard work and effort we put into these events worth it. Pine Bush Area Library
Board of Trustees
Board Minutes – March 13, 2024

Lisa Cannon, Vice President, called the meeting to order at 7:20 p.m. given that President,
Sharon Tarolli, was not in attendance. Present were Trustees John Russell, Peter Eriksen, Gale
Britto, Senta Curran and Annie Cerone. Elaine Gaynor, bookkeeper, and Doris Callan, Director,
were also present.

Treasurer’s Report:
– The format on the financial reports was discussed for optimal monthly review. J. Russel proposed that how much of the annual budget used in a given month, compared to what is budgeted for the year, be reflected on the reports.
– All but one employee is using direct deposit. All is going smoothly with payroll given the new use of Quickbooks.
– J. Russell changed the support plan for Quickbooks so that it was more appropriate in terms of cost and the library’s overall needs. We had an introductory plan that included more services, but now that the introductory period is over, we are able to downgrade to a less expensive support plan without issue.
– Linda Zwart, architect, quoted $1000-1200 for a concept drawing for the library’s expansion. This will be paid with operating funds, and then capital funds will replenish those funds. It will take 4 weeks to render.

– J. Russell proposed that $100K from the Orange Bank and Trust Fund be moved to NYLAF, in order to take advantage of the difference in interest earned. The funds make only .05% at Orange Bank and Trust, and can earn 5.22% with NYLAF. The money isstill liquid in the NYLAF account.

Library Director’s Report:
– A social worker may be needed in the future given the community need for counseling, community resources and supports. This is the way libraries are going now.
– D. Callan shared a letter from James Skoufis regarding library funding proposed in the Senate’s state budget, due to be passed in the coming months.
– Several inspections were completed recently, including the oil burner, alarm system, and fire extinguisher.

– D. Callan advised that for about $200 the library’s carpets could be cleaned. The board was in agreement. D. Callan will make sure the cleaning company is insured and that they guarantee chemical safety.
– OLA Memberships will be paid.
– The library operated in accordance with all provisions of Education Law and the Regulations of the Commissioner, and assures that the “Annual Report” was reviewed and accepted by the Library Board.
– All area libraries are coming up with their numbers in terms of monthly visits, book loans, etc. but they are still not to pre-COVID levels.
– The printer, Wi-Fi and computer use are all reasons people com in to the library.
– Dante suggested that the library’s computers be updated. The main library has 800 uses compared to the community center’s 75 uses per year. It is to be discussed and considered whether in the library’s future improvements do we invest in improved Wi-Fi or in more computers? Chromebooks that would be checked out from the library desk were also discussed as an option.
– Saturday there will be a presentation on the trolley that used to run from Walden to Orange Lake in Newburgh at 1 p.m.
